GDPR statement

Originally posted 23 August 2018. Updated 29 March 2021 to reflect the fact that the UK has left the EU.

This page explains how we apply the requirements of the European Union’s General Data Protection Regulation EU 2016/679. These were incorporated into UK law in Data Protection Act 2018 to preserve legal continuity when the UK left the EU.

Whose data we hold

We hold personal data on three categories of individual:

  1. Members of the Executive Committee of the Muslim Jewish Forum of Greater Manchester ("the Forum") which is a company limited by guarantee. They are also Members of the Forum.
  2. Members of the Forum.
  3. Other people who have chosen to be on our mailing list.

What data we hold and how we acquire it

For the Executive Committee and for Forum Members generally, we have asked for the following data on our membership application form:

  1. Full name
  2. Residential address including postcode
  3. Email address

In addition, Executive Committee members are asked to supply the additional details required by Companies House, such as date of birth.

People who join our email list without becoming members of the Forum are only required to supply their email address.

Membership application forms must be completed on paper, signed, and then either handed to us or posted to us. Our email list can be joined electronically.

How we hold the data obtained

The original paper copies of forms completed on paper are retained in our paper files as evidence that the individual concerned completed the form and chose to become a Forum Member. Similarly, we retain on our electronic files any electronic requests to join our email list.

The data on the paper forms is transcribed into an Excel spreadsheet to keep records of our Members. This Excel spreadsheet remains in the custody of one of the Co-Chairs, but copies may be shared with other members of the the Executive Committee when required for Forum administrative purposes.

We maintain two electronic email lists which are used for the sole purpose of sending emails to our Members and others on our email list:

  1. A Google group.
  2. An email list maintained by our internet service provider.

Two lists are used for technology reasons. Only one of the Co-Chairs has access to these lists, and they are not used for any other purpose.

How we use the data held

For members of the Executive Committee, their name is published on our website.

The sole use of the electronic email system is to send emails about Forum events, and certain information about other interfaith activity in Greater Manchester which the Executive Committee considers would be of interest to people on our email list.

Each broadcast email we send contains a reminder that you can write back to us to if you wish to be removed from our email list. In addition emails sent using our Google group contain an unsubscribe link.

We never share any of the data that we hold with any other organisation.

Obtaining a copy of the data we hold for you

If you would like a copy of the data we hold for you, please send us an email to request it. If you write from the email address which we hold for you, a copy of your data will be sent as soon as possible.

If you contact us otherwise, we may request additional information to validate that you are indeed the person who you claim to be, before releasing a copy of the data that we hold.
